ADMINISTRATOR

 

Commencing soonest, The Carpenter’s Shop NPC t/a The Hope Exchange requires an Administrator. The Hope Exchange helps the homeless to help themselves. We improve the lives of those with no choice but to live on the streets - restoring dignity and facilitating personal growth. Our aim is to reintegrate clients back into society or reunify them with family by providing holistic social care and driving awareness for the cause. 

 

The incumbent’s core responsibilities are to ensure the overall smooth running of the office, improved operations, interdepartmental efficiencies and effective delivery of financial and administration functions to meet The Hope Exchange’s strategic objectives and operational plans. 

 

 

Key Performance Areas  

 

General Administration 

 

  1. Oversight of reception and office management. 

  2. General administration tasks, such as drafting of documents, spreadsheets, correspondence, etc.  

  3. Operational and administrative support and oversight (where necessary) to new projects and social enterprise endeavours.   

 

Financial Administration  

 

  1. Daily tracking of transactions, cashing up, capturing of financial data for monthly reporting etc.  

  2. Weekly meeting with the Bookkeeper and Social Care Worker to facilitate payment requisitions, wages, fees management etc. 

  3. Issuing S18A Receipts. 

 

Human Resources  

 

  1. Responsible for all HR administration. 

 

Information Communication & Technology (ICT) 

 

  1. Responsible for all ICT infrastructure and services (including print, data & telephony). 

  2. Troubleshooting and facilitating desktop and user-support. 

  3. Liaising with relevant services providers and ensuring SLA’s are met. 

 

Database & Information Systems 

 

  1. Lead and champion the implementation of a CRM system.  

  2. Maintaining the donor database and drafting monthly reports. 

  3. Maintain and update the website.  

 

Premises, Fixed Assets & Facilities, Repairs & Maintenance 

 

  1. Facilitating and coordinating repairs and routine maintenance to the premises or fixed assets (such as equipment, motor vehicles) etc. 

  2. Supervise some shared services staff. 

 

Required Competencies and, or Experience 

 

  1. A minimum of 3 years’ experience in a similar position. 

  2. Excellent communication skills (written, verbal and presentation). 

  3. Strong administration, planning and organizational skills. 

  4. A relevant tertiary qualification will be advantageous.  

  5. A background in, or an understanding of the NPO sector will be beneficial.  

  6. Action oriented and results driven. 

  7. Proficient computer skills in Windows 365 and the MS Office Suite.
