IMPLEMENTATION OF A MOBILE COLLABORATION APP FOR PROGRAMME ALUMNI
INTRODUCTION
Citizen Leader Lab is a registered Non-Profit Organisation and Public Benefit Organisation (NPO #072-323,
PBO #930-029-675). We utilise innovative leadership development models to develop leaders who
catalyse positive change in their communities and broader society.
WHAT WE DO
Citizen Leader Lab offers a variety of programmes and workshops that work towards social cohesion and
large-scale social change in South Africa. Through our programmes, PARTNERS for POSSIBILITY (PfP); the
SCHOOL LEADERSHIP FORUM (SLF), COMMUNITY BUILDING workshops, the SCHOOL for COMMUNITY
programme (SfC) and the EDUCATION COLLABORATIVE, we promote and facilitate leadership
development opportunities for school principals and their communities, and we enable citizen leadership
opportunities for business leaders.
INVITATION FOR PROPOSALS
Citizen Leader Lab is inviting proposals for a native/hybrid mobile application solution for our programme
alumni. The mobile application will serve as a hub for discussions, knowledge sharing, connection, and
sharing of best practices, and the option to link the existing library of resources. This request for proposal
is open to anyone with an existing mobile application that can be adapted to meet our requirements.
Scope of the project:
A discussion forum mobile app for iOS and Android.
Backend server and database development to host application data. The app should be able to link an existing library of downloadable resources from our website.
Administrative portal function to allow update/modification of the content and monitor mobile app usage and analytics.
Built-in analytical tool to build further business strategies.
Support and Maintenance
THE ENVISAGED OUTCOMES FOR THE REQUIRED SERVICES ARE:
Cross-Platform Compatibility: The application should be compatible with iOS and Android platforms.
User Registration and Profiles: Users should be able to create profiles, customize their preferences,and manage their personal information.
Login: Allow members to log in only once after downloading the app
Discussion Forum: The application should facilitate discussions through various channels, categories, or groups where users can post, comment, and interact with others on specific topics. Administrator functionality to include ability to create private and open channels.
Messaging and Chat: Users should be able to send private messages, create group chats, and share documents and media files.
Real-time Notifications: Users should receive real-time notifications for new posts, comments, and messages to ensure active engagement.
Search and Discovery: The application should allow users to search for specific topics, users, or groups easily.
Library of Resources: The application should be able to link to our existing repository of valuable resources from our website, including documents, articles, and videos, which users can access and contribute to.
Analytics and User Insights: Provide data analytics and user insights to help us understand user behaviour and improve the application continuously.
Admin panel: That will allow our internal team to add resources and monitor the app usage.
Security: Implement robust security measures to protect user data and ensure privacy.
PROPOSAL SPECIFICATION
A technical proposal to deliver on the requirements listed above.
Cost to customise existing application.
Hours and cost to support and maintain the application per month.
Timeline to implement the application.
Training support for Citizen Leader Lab administration.
Adoption plan for new users.
Suggestions and insights to achieve the objectives of the application.
EXPECTED DELIVERABLES
The developer is expected to deliver the following:
• Deliver and maintain a fully operational mobile application.
• Successful user adoption and support.
TIMELINES
Implementation of the solution is planned for the first half of 2024. The response to proposal will be
utilised by Citizen Leader Lab to source funding for the solution and thus the exact project start date is
dependent upon the success of these fundraising activities.
SUBMISSION REQUIREMENTS
The developer should provide the following items as part of the proposal consideration:
THE SERVICE PROVIDER PROPOSAL ON APPROACH AND METHODOLOGY
Provide an executive summary which describes the services that will be provided and how the provider will address the needs, and objectives and requirements outlined in the scope of work/services.
Provide examples or a demo of the existing mobile application.
Provide a list of your partners/clients.
ENGAGEMENT AND PAYMENT TERMS OF SERVICE PROVIDER
A cost breakdown for the entire project, including:
Set up costs.
Licensing or subscription fees.
Testing and quality assurance expenses.
Post-launch maintenance and support fees.
Any additional or ongoing costs.
ADDITIONAL INFORMATION
The Service Provider is requested to include the following additional information in this submission:
User Experience (UI/UX) Design: A brief overview of their approach to user interface and user
experience design, including any design principles or philosophies they plan to follow.

FOLLOW UP PRESENTATION
Following an internal review process of all submissions received from interested service providers, the
shortlisted service providers will be invited to a presentation of the proposed solution. Further details will
be provided directly to the relevant service providers.
