Background and Main Purpose of the Job: 

Financial management and planning remain a critical aspect of ACFS ability to sustain funder confidence. This role focuses on providing the necessary systems and processes to ensure that generally accepted checks and balances are built into the organisation’s financial management system and that these processes are updated regularly to ensure compliance with the required level of reporting as may be determined by the organisation’s board of management, its Executive Director and other regulated authorities such as the SARS etc

Requirements & Qualifications:

A bachelor’s degree in financial management or accounting

A valid Driver’s License

Minimum Experience:

3 years or more experience within the NGO and or development sector with the following: 

  1. Qualified accountant with membership of a professional body such as SAIPA, ACCA, CIMA etc

  2. Experience of financial management and administration

  3. Experience of sales invoicing processes

  4. Experience of data management and manipulation

  5. Experience of preparing financial reports (internal and external)

  6. Experience of year-end procedures and preparing supporting documentation

  7. Experience of providing support & appropriate training to non-financial managers

  8. Excellent communication skills both written and verbal

  9. Proven ability to work as part of a team

  10. Proven staff management skills

  11. Experience with funder reports, funding proposals and budgets

  12. Experience with external and internal audit preparation and coordination

  1. Highly motivated with proven ability to take initiative to solve problems

  2. Excellent IT skills with demonstrable high level of competence with Excel and accounting software

  3. Experience of finance work within the NGO sector

  4. Experience VAT, income tax and PAYE processes and submission and liaison with SARS 

  1. Proven project management skills

  2. Proficient with Xero accounting software and Simple Pay

Duties/ responsibilities

  1. Overall control of the company’s accounting function financial planning and related ongoing advice for the Executive Director and senior management

  2. Formulating financial targets and budgets in accordance with the strategy determined by the Board of Management 

  3. Overall control of all financial transactions and accountancy matters, including audit systems

  4. Managing company policies regarding capital requirements, debt, taxation, equity and acquisitions, as appropriate

  5. Preparing annual accounts

  6. Ensuring that the regulatory requirements of all Statutory bodies are met regarding ACFS Financial affairs

More specifically the functionary will undertake the following key tasks: 

  1. To manage the ACFS financial data:

    1. Ensuring accuracy of data posted to the accounts software package, resolving discrepancies as needed

    2. Maintaining Balance Sheet account reconciliations, including acting as point of contact for Human Resources staff on payroll

    3. reconciliations and pension and other statutory calculations

  2. Working with staff across the organisation to ensure that ACFS financial data meets the requirements of the Finance function (for example, working with fundraising units to develop sales forecasts as per the organisational income generation strategy) 

  3. To manage ACFS sales invoicing function, including:

    1. Setting up systems to enable the Finance team to take on sales invoicing

    2. Managing credit control

  1. To line manage the DO: Office Resources and Bookkeeping 

  2. To develop and maintain ACFS use of its accounts software package (Xero): 

    1. Maintaining user accounts, developing new templates, and troubleshooting system errors as necessary

    2. Training and supporting staff across the organisation in using financial templates and systems 

  3. To act, with the DO: Office Resources and Bookkeeping, as a point of contact for staff across the Organisation regarding day-to-day finance matters, making decisions on or escalating matters to the Executive Director where necessary

  4. To produce the following management reports: 

    1. Monthly management accounts and forecasts

  1. Weekly Cash flow monitoring and forecasting

  2. To work with the Executive Director and Senior Manager programmes including the Donor Liaison officer to manage ACFS annual budgeting process:

  1. Liaising with and advising budget managers (unit Managers) across the organisation to enable them to develop realistic and accurate expenditure budgets

  2. Preparation of budget papers and supporting documentation

  3. To support the Finance Sub-committee and the Executive Director in the timely and accurate production of year end statutory accounts, including:

    1. Preparation of supporting documentation for the ACFS audit

    2. Liaising with ACFS auditors

    3. Assist with preparation of the quarterly and adhoc board reports

  4. Ensure VAT, income tax and payroll taxes compliance

  5. Support the Executive Director on other matters as may be required

  6. Timely monitoring of progress against Operation Plans and corrective action taken as necessary.

  7. Timely synthesis of data in line with reporting schedules

  8. Attending and preparing for Management Meetings

  9. Keeping records organized and intelligible

  10. Working with staff to develop filing and records systems that lead to a well-documented information management system

  12. Attend sector and donor meetings as directed from the Executive Director from time to time
