Power Africa Empower Southern Africa (ESA) Program funded by USAID. ESA is a 5-year regional program that covers South Africa, Lesotho, Eswatini, Botswana, Namibia, Angola, Zimbabwe, Zambia, Malawi, Mozambique, Madagascar, Comoros and Sao Tome and Principe. The primary purpose of ESA is to increase the availability of access to, and use of affordable, reliable, sustainable and clean energy in Southern Africa in order to reach measurable development outcomes. Measurable development outcomes include economic growth, reducing poverty, improving livelihoods, and increasing inclusive access to electricity-enabled services in such areas as health, education, sanitation, and food security. This position will be based in Pretoria, South Africa. We are looking for individuals who have a passion for making a difference in the lives of people and communities around the world.

                                                       Grants Assistant 
Responsibilities:


Support the Grants Manager in all aspects of grant management of the ESA grants portfolio in target areas ensuring grant effectiveness and in compliance with USAID and Chemonics procedures from development through solicitation to closeout cycle. 
•Assist in scheduling proposal evaluations, pre award assessment visits and training. 
•Support the Grants Manager in reviewing all sub-grant applications, deliverables (in collaboration with the technical specialists), and financial reports for quality, contractual consistency, accuracy, and compliance with USAID regulations. 
•Support grant-level procurement; budget tracking; deliverable tracking; conduct field visits to support activity implementation and monitoring. 
•Reviews sub-grantees liquidation and financial reports and provides summaries to the project’s Grants Manager on a monthly basis. 
•Maintain complete grant files of all documentation generated per grantee, ensuring they are always up to date. 
•Supports project audits, grantor’s audit, or monitoring visits. 
•In close coordination with the Grants Manager, regularly update grant trackers, or other tracking tools, and attend and contribute to grants-related meetings. 
•Under the guidance of the Grants Manager, and working closely with ESA team members, provides mentoring support to grantee to strengthen and improve grant management capacity for improved performance. 
•Travel to field locations, as needed, to support the Grants Manager in award, negotiations, implementation, and close-out. 
•Promote the highest levels of honesty, integrity, openness, and transparency in administering grants award processes and procedures. 
•Perform other duties as assigned by the Grants Manager


Qualifications: 
•Bachelor’s degree in relevant field preferred. 
•Minimum of 2 years of experience working in project administration. 
•Mastery of Microsoft Office Suite, specifically in MS Excel and Word. 
•Strong organizational, work prioritization skills and attention to detail. 
•Ability to work in a professional and cordial manner with fellow staff members, visitors, the general public, and partner institutions including international and local NGOs, and governmental entities. 
•Ability to work in a fast-paced environment, meet deadlines, and exercise good, professional judgment that reflects positively on the image and communicates the established program message of the project. 
•Demonstrated ability to work productively within a team. 
•Possess excellent organizational and strong multi-tasking skills. 
•Demonstrated leadership, versatility, and integrity. 
•Excellent verbal and written communication skills in English, with command of another regional language a plus. 
 

Driver


Responsibilities: 
Driving and maintaining the project vehicle 
•Serve as project driver for ESA official travel, including project-related trips within South Africa as well as other driving assignments as required. 
•Assist project employees and short-term consultants to arrive in a safe and timely manner to meetings, events, and other project-related activities. 
•Ensure cleanliness, tidiness, and good working condition of assigned vehicle. 
•Maintain high standard of service to both internal and external guests, and ensure passenger safety by obeying traffic laws, driving carefully, and ensuring each passenger wears a seatbelt. 
•Check assigned vehicle weekly to ensure it is operational and safe to drive. This includes checking the oil, radiator, fan belt, battery, brake fluid, wipers, tires, lights, and signals. 
•Initiate and supervise any repairs required on assigned vehicles and maintain repair records in the vehicle file. 
•Supervise routine maintenance of assigned project vehicle, including oil and filter changes, tune-ups, and professional cleaning. 
•Fulfill project reporting requirements and maintain records, including vehicle logs, vehicle routing, daily mileage, fuel consumption, and vehicle condition. 
•Assist the Operations and Security Manager ensure vehicle insurance, registration, vehicle radio tax disc, and municipal tax discs are in the vehicle and are up-to-date. 
•Perform other duties as assigned by the Operations and Security Manager


Qualifications: 
•Minimum of two (2) years of experience; experience working for a U.S. company or NGO in South Africa is preferred. 
•Valid South African driver’s license and good driving record required. 
•Understanding of auto mechanics required, certification in mechanics or automobile maintenance beneficial. 
•Demonstrated leadership, versatility, and integrity. 
 

Subcontracts Assistant


Responsibilities: 
•Support the Subcontracts Manager in all aspects of subcontract management of the ESA. 
•Subcontracts portfolio in target areas ensuring grant effectiveness and in compliance with USAID and Chemonics procedures from development through solicitation to closeout cycle.

Logistics Assistant


Responsibilities include: 
•Assist the project in assigning vehicles to the various project activities. 
•Upon receiving vehicle requests for local trips, if vehicles are not available, make necessary arrangements with the vehicle rental company. 
•Maintain a logbook for each vehicle, conforming and supervising the mileage and proper usage of vehicles. 
•Maintain annual renewal of vehicle insurance. 
•Make travel and accommodation arrangements for project staff and visitors as requested. 
•Manage procurement of goods and services; administer maintenance agreements as directed. 
•Accurately track and record project equipment, ensuring proper maintenance and security 
•Maintain stock records for stationery and supplies for the office, working with suppliers and verifying receipt of supplies and requisitioning in line with office procedures. 
•Ensure operation of office equipment including reviewing maintenance requirements, arranging for necessary repairs, maintaining equipment inventories and evaluating new equipment 
•Perform other duties as assigned by the Operations and Security Manager.


Qualifications: 
Bachelor’s degree in relevant field preferred 
•Minimum of 2 years of progressively responsible logistical work experience in terms of the job tasks and responsibilities outlined above required. 
•Mastery of Microsoft Office Suite, specifically in MS Excel and Word 
•Strong organizational, work prioritization skills and attention to detail 
•Ability to work in a professional and cordial manner with fellow staff members, visitors, the general public, and partner institutions including international and local NGOs, and governmental entities. 
•Ability to work in a fast-paced environment, meet deadlines, and exercise good, professional judgment that reflects positively on the image and communicates the established program message of the project. 
•Experience managing procurements and tracking inventory. 
•Experience coordinating travel and logistics. 
•Demonstrated ability to work productively within a team. 
•Possess excellent organizational and strong multi-tasking skills. 
•Demonstrated leadership, versatility, and integrity. 
•Excellent verbal and written communication skills in English, with command of another regional language a plus.
