OUT LGBT Well-being (OUT) is a South African non-profit organization dedicated to creating inclusive and fair societies that promote the well-being of all LGBT+ individuals, free from discrimination and stigma. OUT strives to empower and advocate for the human rights, access to equal services, and overall well-being of the lesbian, gay, bisexual, and transgender plus communities in South Africa, particularly in the Johannesburg, Nelson Mandela Bay, and Buffalo City Metro areas, as well as globally.


OUT LGBT Well-being is currently recruiting Finance Manager who is qualified and experienced and will be responsible for various financial and accounting tasks, including financial reporting, budgeting, granting, tax/statutory compliance, and audit functions of the Organisation.


In their role, the Finance Manager will assist the Operations Director in the financial development of OUT and providing support to the Board to meet fiduciary and organisational compliance responsibilities.
 

This position, based in Pretoria, will report directly to the Operations Director
 

Working conditions:
The Finance Manager usually works in an office environment, but the organisation will sometimes require operating in non-standard workplaces or travel within South Africa.


KEY DUTIES AND RESPONSIBILITIES:
1. Financial Management and Reporting
•Prepare audited financial statements.
•Oversee, manage, and coordinate statutory and project audits.
•Manage and track deferred revenue and recognise income as appropriate in the accounting system.
•Analyse and present financial reports in an accurate and timely manner: clearly communicate monthly and annual financial statements: collate financial reporting materials for donors and oversee financial.
project/program and grants accounting
•Provide timely and reliable financial information to the board, senior management, decision making entities and external stakeholders.
 

2. Accounting compliance & controls
•Ensure that all balance sheet reconciliations are produced accurately and in a timely manner and prepare month-end close.
•Accountable for the completion and submission/filing of all SA statutory forms in a timely manner
•Devise effective and efficient financial systems and ensure adherence to policies and procedures.
•Maintain financial assets register and process depreciation journals.
•Review, update and maintain the organisation’s Finance policy as necessary; Maintain sound fiscal and accounting policies and procedures.
•Develop and manage general ledger and fund accounting systems and procedures.
•Review and interpret new/updated accounting policies and apply approved recommendations.
•Oversight of month end financial processes to ensure timely close.
•Review and approve payment requisitions, authorise payments on banking online.
•Review and verification of monthly Payroll; Check time allocations and prepare payroll journal.
•Ensure SARS submissions are done timely (PAYE, UIF, Income Tax, VAT)
•Oversight of daily accounting function to ensure accurate and complete financial records of all transactions.
•Ensure all supporting documents are compliant with donor and company policies.
•Prepare organisational and grant budgets.
•Approval of all expenditure as per budgets
•Oversight of adherence to internal controls relating to cash management, including petty cash and business bank cards

3. Budgetary Control and Cash flow Monitoring
•Develop annual and project budgets in collaboration with the Operations director, functional heads, and budget holders.
•Oversee expenditure against annual budget and monitor variances (monthly)
•Build and maintain systems, processes and procedures for tracking grant income, expenditure, and allocating overheads to correct project cost allocation.
•Forecast, Monitor and manage organisational cashflows.
•Forecasting monitoring and reporting of the operations budgets
•Prepare and submit funding forecasts as directed


QUALIFICATIONS AND EXPERIENCE
•Bachelor’s degree or equivalent sector related qualification
•8 years relevant management experience (specifically in donor funded environment (USAID)
•Experience in managing grants under USAID strongly preferred.
•Strong ability to plan, Organise, prioritise work and multitask under pressure to meet tight deadlines.
•Accounting software and Excel
•Significant experience in or knowledge of non-profit accounting including grant accounting, compliance, and reporting.
