  • Hours of work: 8am – 4pm (Mon – Friday) - negotiable
  • Nature of contract:  Permanent   
  • Salary range :    Market-related (commensurate with skill and experience)


ABOUT THE ORGANISATION AND THE ROLE  

Highlands House is a dynamic residential facility for older people situated in the Gardens in Cape Town. We require an experienced Operations Manager to assume responsibility for  the maintenance, operations, relevant legislative compliance & technical support functions at Highlands House.

 

KEY ROLES AND RESPONSIBILITIES     

 General Operations Management 

  1. Oversee the full operational functions of the facility, and ensure all operations are conducted in an appropriate and cost-effective way.
  2. Project management for specialized work projects.
  3. Assist in the procurement of operating supplies and equipment and contracting with third-party vendors for essential equipment and services.
  4. Asset management.
  5. Set short- and long-term goals for the property to develop improvement actions to implement cost savings. 

Facilities / Maintenance Management 

  1. Assist the  financial manager with annual budget for maintenance department. 
  2. Plan, organize and manage the daily tasks, delegate to maintenance team, and ensure task completion.
  3. Planning and scheduling of maintenance projects and program.
  4. Liaise with tenants on the property regarding maintenance issues.
  5. Manage and monitor all contracted services, obtain quotes, and prepare work orders.
  6. Manage all key suppliers.
  7. Manage and update service level agreements.
  8. Ensure regular servicing of equipment.

Compliance 

  1. Ensure full compliance with facility operating controls, and SOPs to ensure service standards. 
  2. Responsible for Occupational Health & Safety Act implementation, fire regulations and other legal requirements.

REQUIRED SKILLS & EXPERIENCE  

The suitable applicant will have the following competencies:   

Work experience and industry exposure   

1. Minimum of 5 years operational management experience within a service driven environment is essential, previous exposure to healthcare / residential / NPOs is highly desirable. 

2. A relevant Degree or Diploma qualification in Operation / Facilities / Building Science / logistics management is desirable.   

3. Demonstrated technical skills to assess problems when needed in terms of buildings and facilities maintenance 

Communication skills  

1. Able to communicate effectively with internal and external service providers 

2. Able to provide ongoing reports and recommendations to the management team.

Administration Skills  

 

1.Highly organised and self-motivated person with good coordination skills is essential, the person must be able to work well under pressure and manage conflicting priorities.

2. Strong time management skills with the ability to  prioritise and handle a complex, varied workload.

3. Computer literate with knowledge of Microsoft Office (especially Excel, Word and Outlook).

Specific Requirements  

 

1.Knowledge of relevant compliance legislations such as OHSA, HACCP, CPA and all other related health & safety legislation 

2. Financial acumen with the ability  to formulate and manage budgets in line with organization’s strategic objectives.
